Privacy Policy
How Adams Adams & Morris, Inc. collects, uses and protects information on this website and in the resident portal. Effective October 2, 2026.
Adams Adams & Morris, Inc. ("we", "us") is a licensed California real estate brokerage and property-management company at 2516 San Carlos Avenue, Castro Valley, CA 94546. This policy covers adamsadamsandmorris.com, the resident and operations portal at app.adamsadamsandmorris.com, and the forms on both. It does not replace the privacy notices in your lease, rental application or management agreement, which also apply.
1. Information we collect
Information you give us. When you fill out a form or use the portal we collect what you enter: name, email, phone, property address and unit, the details of a maintenance request or inquiry, photos you attach, permission-to-enter and pet information, and messages you send us. Rental applications collect the additional information described on the application itself, including identity, income and rental history, as permitted by California law.
Information collected automatically. Our website and forms are hosted on third-party platforms (see Section 3) that record standard technical data: IP address, browser and device type, pages visited, referring page, and the date and time of visits. With your consent we also use analytics cookies as described in Section 4.
Information from others. For rental applications we may receive credit, background and rental-history reports from consumer reporting agencies, with the authorization you provide on the application.
2. How we use information
- To respond to inquiries, schedule and perform maintenance, and manage the properties we are responsible for
- To communicate with tenants and owners about their units, requests, inspections and leases
- To evaluate rental applications and perform the services in our management agreements
- To keep records required by California real estate and landlord-tenant law
- To operate, secure and improve our website and portal
- To send owners information about our services, if they have asked for it (you can opt out at any time)
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
3. Who we share it with
We share information only as needed to do the work you have asked us to do:
- Service providers that host our website, forms, email and portal and process the data on our behalf: HighLevel (website and form hosting, CRM, messaging), Supabase (portal database and file storage), Netlify (portal hosting), and Google (fonts and, with consent, analytics). Each is bound to use the data only to provide its service to us.
- Vendors and technicians we assign to a work order receive the information needed to do the job: the address and unit, the description and photos of the problem, your permission-to-enter and pet notes, and the phone number you gave us for scheduling. They do not receive your lease or application information.
- Property owners we manage for receive information about their own units and tenants as required by the management agreement.
- Consumer reporting agencies, for rental applications, with your authorization.
- Legal and safety: when required by law, court order or a government request, or to protect the safety of residents and property.
4. Cookies and similar technologies
Essential cookies are always on. They keep you signed in to the portal, make the request forms work, remember your cookie choice and your accessibility settings, and protect against abuse. They do not track you across other websites.
Analytics cookies are used only if you choose "Accept all" in the cookie notice. They help us understand which pages are used and whether forms are completing. You can change your choice at any time: reset your cookie preference and the notice will appear again. You can also clear or block cookies in your browser settings; the site will still work, but you may need to sign in to the portal more often.
Our forms are served by HighLevel and may set their own cookies under its privacy policy.
5. How long we keep information
Maintenance requests, work orders, inspection reports and related messages are kept for the life of the tenancy or management relationship and for the period California law requires afterward (generally four years for business records; longer where a dispute or legal hold applies). Rental applications we do not approve are kept as required by fair-housing record-keeping rules and then destroyed. Website analytics data is kept in aggregated form.
6. Security
The portal uses encrypted connections, individual sign-ins, and database rules that limit each person to their own unit's information. Photos are stored privately and served through time-limited links. No method of transmission or storage is perfectly secure; if we learn of a breach affecting your information we will notify you as California law requires.
7. Your California privacy rights
Under California law you may have the right to know what personal information we have collected about you, to request a copy, to ask us to correct or delete it, and to not be discriminated against for exercising those rights. Some information cannot be deleted while a lease, application or legal retention period is in effect; we will tell you if that applies. To make a request, contact us using the details below. We will verify your identity before responding and reply within the time the law allows. You may use an authorized agent if you give them written permission.
We do not sell or share personal information for advertising, so there is no "Do Not Sell or Share" option to exercise. We honor Global Privacy Control signals as an opt-out of any such activity should that change.
8. Children
Our services are for adults who rent, own or service property. We do not knowingly collect information from anyone under 18 except as part of a household on a rental application, provided by an adult applicant.
9. Accessibility statement
Adams Adams & Morris is committed to making this website and the resident portal usable by everyone, including people who use assistive technology. We aim to meet the Web Content Accessibility Guidelines (WCAG) 2.1 Level AA. The site is built with semantic headings and landmarks, keyboard-operable navigation and forms, labeled fields, text alternatives for images, and color contrast chosen to meet AA ratios.
The Accessibility options button in the lower-right corner of every page lets you enlarge text, switch to high-contrast or dark mode, remove color, highlight links, use a plain font, increase spacing, enlarge the cursor, stop animations and turn on a reading guide. Your choices are saved on your device.
If any part of the site is difficult for you to use, or you need information in another format (large print, by phone, by mail), call (510) 537-4314 or email [email protected] and we will help promptly. Maintenance requests and emergencies can always be made by phone.
10. Changes to this policy
We will post any changes here with a new effective date. Material changes affecting tenants or owners will also be communicated directly.
